This article will provide an overview of the worker experience so that HR users can understand how the onboarding steps appear from a worker’s perspective. This will allow HR users to build the relevant positions, and manage onboarding requirements with more visibility of all user interactions.
The onboarding requirements for a worker can be pre-built and customised. If you see anything during the example worker experience, you can likely adjust or change it within the below areas:
- Company Settings - Onboarding
- Positions
- When Creating an Onboarding
- Administrator Settings - Email & SMS Templates
Please Note: Once an onboard is released and in-flight, the pre-built requirements are set against that onboard and not editable. If you need to adjust an onboarding detail or contract, you will need to Edit the Onboard (where options/variations permit), or Cancel the Onboard and resend a new one.
Worker Requirements
The requirements of the worker during their onboarding typically follow the key steps as outlined below, but these may vary depending on the specific onboard or position in each case.
Receive & Start Onboarding
The Onboarding Status shown on the HR Dashboard or worker profile will indicate ‘Sent to Worker’ during these steps. Please read the Onboarding Status article for more information.
Email Invitation Received
The worker will receive an email and will be prompted to ‘Start Onboarding’.
Administrators can adjust the email content under:
Administration → Email & SMS Templates → Contract Notification to Employee
After clicking 'Start Onboarding' from the invitation email, the worker can create a password which, together with their email, will be their log in details.
Welcome Message & Introduction Video
This can be adjusted under:
Company Settings → Onboarding Settings
Offer Letter & Contract Review
The Worker will be able to read through their contract on-screen. They have the option to ask questions, download a PDF copy and to accept or decline the contract.
Custom contracts can be edited under either:

Edit Contract within Create a New Onboarding

Edit and Existing Position→ Custom Contract → Edit
Sign Contract
After reviewing the contract and accepting the offer, the worker can digitally sign the contract. They can draw the signature or use a text signature by typing in their name and selecting a signature font.

The worker can add all the necessary data, including their:
- Personal Details
- Emergency contacts
- Tax Information
Policy Documents & Induction Courses
The worker can also read and complete any additional documents or courses that they are required to for their onboarding.
Finalise & Submit Onboarding
From their worker dashboard, the worker can now finalise their onboarding submit it for review.
Two-Factor Authentication
A unique code will be sent via SMS to the worker, who can then enter the code into the verification form.
Once these steps have been completed, an email & Expedo HR Dashboard Notification will be sent to the approving manager to indicate that the Onboarding is now ready for review and to Approve the Onboard.
